With a strong focus on donor stewardship, the Major Gifts Assistant will be involved in a wide range of administrative activities for the Major Gifts department. 

The Major Gift Assistant’s primary responsibility is to oversee the acknowledgment of major gifts and pledges, including processing gifts, drafting acknowledgment letters, and sending gift acknowledgments in a timely manner.  Working across the Advancement department and throughout the Museum, the assistant will support the stewardship of Whitney patron groups and their benefit fulfillment by supporting in-person and virtual events; preparing billing statements, renewals, and solicitations; organizing large-scale catalogue mailings; and developing the monthly Major Gifts newsletter.  The assistant will process invoices; schedule weekly departmental meetings and donor tours; work collaboratively with the Major Gift team and other departments to ensure that the website, intranet, and informational print materials are up to date; and assist on special projects as they arise.  The assistant will also serve as the first point of contact with the general public on behalf of the Major Gifts office and, at times, for the Advancement department at large, and will have direct contact with the Chief Advancement Officer and the Office of the Museum Director.

Job requirements: B.A.; 1-2 years administrative experience; strong attention to detail and organizational abilities; good writing skills and excellent phone manner; ability to work in a fast paced environment; experience with MS Office and Raiser’s Edge or similar database.
