Reporting to the Assistant Director of Tourism, the Groups Sales and Engagement Assistant coordinates the selling, planning, and execution of group visits at the Whitney.  Part of the Marketing division and working in partnership with Visitor and Membership Experience, the Assistant helps to maximize group attendance and revenue across a variety of audience segments, while supporting the Museum’s visitor experience and education priorities.

This position requires a combination of office administrative work and public-facing duties. The Assistant will interface with a range of internal stakeholders and external group contacts. The Assistant will also support other marketing and audience engagement initiatives.

Key responsibilities include, but are not limited to:

  • Facilitates all aspects of group visits including self-guided and guided tours, school groups, community and access visits, and internal requests
  • Send group confirmations, invoices, and secure payments
  • Communicate with group leaders over the phone, email, and in-person at the Museum
  • Provide itinerary recommendations, promote current and upcoming exhibitions, and engage with groups before, during, and post-visit
  • Coordinate arrival process ensuring a smooth visitor experience
  • Work closely with Whitney Educators with all school group and guided tours
  • Maintain and circulate sales reports and group visit calendar to key stakeholders
  • Assist with third-party tourism and ticket partnerships
  • Maintain group ticketing and customer database
  • Work closely with on-site dining, retail, and other museum areas
  • Assist with after-hours events, tours, and VIP experiences
  • Assist with marketing, communication, and content efforts
  • Other administrative duties as needed

Preferred Qualifications:

  • 1-2 years’ experience in sales, customer service, hospitality, or arts organizations is preferred
  • Excellent oral and written communication skills
  • Strong organization and attention to detail
  • Demonstrates good judgment and ability to work independently in a fast-paced environment
  • Familiarity with customer databases, CRMs, or ticketing systems
  • Ability to work flexible schedule including nights and weekends as needed (one weekend day is required during peak seasons)
  • Bi-lingual a plus
