Employee Experience Assistant
The Whitney Museum of American Art is seeking an Employee Experience Assistant to join our team in the Office of People and Culture (“OPC”), the Museum’s Human Resources function. The Employee Experience Assistant will report to the Deputy Director, OPC, and is responsible for supporting the Employee Experience team, which oversees many facets of the employee life cycle including talent acquisition, onboarding, performance management, employee engagement, learning and development, and offboarding. The Assistant will also support the Deputy Director and the CHRO with some aspects of departmental coordination.
The ideal candidate will be a self-starter with at least two years of administrative experience, with strong customer service skills and a team-oriented approach.
Responsibilities:
Onboarding 60%
Onboarding is a critical process that sets the foundation for a new employee's success at the Museum. The Employee Experience Assistant will act as the first point of contact for all new hires at the Museum, providing support and guidance for our decentralized hiring process. Responsibilities include:
- Post all open positions to JazzHR, Whitney’s careers page, and other sites as requested
- Initiate and process all new hire paperwork (e.g. background checks, I-9s)
- Steward new hires through the onboarding process · Assist with monthly and quarterly New Hire Orientations
- Partner with hiring manager, IT, and Security for day one onboarding
- Provide support for onboarding our fall/spring semester and summer Whitney interns
Administrative Duties 35%
Support the Employee Experience vertical and identify opportunities to streamline administrative workflows and processes in the spirit of continuous improvement:
- Monitor the departmental shared inbox and direct incoming queries to the appropriate team member
- Meeting organization: reserve conference space, maintain departmental calendar, set up meeting tech
- Maintain employee files and organize files on the departmental shared drive
- Staff Site Maintenance
- Prepare and submit invoices through Concur
- Amazon orders / Office Supplies
- Maintain Museum organizational charts
- Respond to requests for verification of employment
- Other duties as assigned
Employee Engagement 5%
- Assist the Employee Experience Manager as needed with executing staff events
- Assist with tracking and review of Annual Performance Reviews
Qualifications:
- Bachelor’s degree, or an equivalent combination of education and/or experience may be considered in lieu of a degree when the experience is directly related to the position
- Minimum of two years of previous administrative experience
- Prior Human Resources experience highly preferred
- Proficiency in MS Office suite (Word, Excel, PowerPoint), familiarity with applicant tracking systems (JazzHR), and project management software (Asana)
- Excellent organizational skills with strong attention to detail and ability to prioritize tasks effectively
- Ability to respond to incoming requests with speed and efficiency
- Excellent written and verbal communication skills
- Ability to work independently and manage multiple deadlines simultaneously
- Must exhibit complete discretion while working with confidential and sensitive information.
